Folder management
Private.Ki Mail organizes your email into several standard folders. Understanding what each folder does and how to move messages between them will help you manage your mail effectively.
Default mail folders
These are your standard mail folders:
Inbox: All incoming emails arrive here. Unread messages in Inbox are shown with a light blue bar on the left. Keep your Inbox for active conversations, you can move emails out to other folders as needed.
Sent: A copy of every email you send is stored in Sent. All messages in Sent folder are encrypted with AES so that only you can read them. The email sent to the recipient is encrypted with their public PGP key. Only in the rare case that you are sending a non-encrypted mail to an external recipient, the outgoing mail is not encrypted - nevertheless, the copy in your Sent folder is always encrypted.
Drafts: Emails you started writing but haven’t sent yet are automatically saved and stored in Drafts. Once you send a draft, it moves to Sent, and the Drafts copy is removed. All drafts are encrypted with AES, and only you can decrypt and read them.
Archive: The Archive folder is a storage for emails you want to keep but not see in your Inbox. Archiving a message moves it here. The email stays in your account (it’s not deleted), and you can open the Archive folder anytime to find archived mail.
Trash: The Trash folder contains emails you have deleted. Messages in Trash are intended for removal – they are not visible in other folders. Trash is a temporary holding area: you can still recover emails from here if needed (by restoring them to Inbox or another folder), or you can permanently remove them.
Moving messages between folders
Deleting messages and threads
To move a message to Trash, hover over the message in the middle column of Private.Ki Mail, and press the right mouse key (or Ctrl + click). A pop-up menu opens:
Click on Delete to move the message to the Trash folder.
Alternatively, you can also click on the Trash icon in the lower right corner of the mail that you'd like to delete:
This has the same effect and will also move the mail to the Trash folder.
If you'd like to delete the entire thread (all messages in a reply chain), click on the 3-dot menu in the upper right corner of the message:
Click on Delete thread.
This will move all messages of the message thread to the Trash folder.
A different option to delete one or more messages is by selecting. Hover over the message and click the checkbox:
Like this, you can select one or more messages:
Then, click on the trash icon in the toolbar that pops up:
The selected messages will then be moved to the Trash folder.
Restoring messages from Trash folder
Deleted messages will appear in the Trash folder:
To restore a message that you have moved to the Trash folder, click on this icon when viewing the message in the trash folder:
You can also restore one or more messages message by clicking on this icon after selection:
To restore a thread (all messages from the same reply chain), click on the upper right 3-dot menu, and select Restore thread:
Restoring messages from the Trash folder will move them back to their original folder
Permanently deleting messages
You can permanently delete messages in the Trash folder by clicking on the Trash icon in the lower right corner of the message:
You can also permanently delete one or multiple messages by selecting them and clicking on the Trash icon in the toolbar:
To permanently delete a message thread (multiple messages in the same reply chain), click on the 3-dot menu at the right upper corner of the message and selecting Delete permanently:
Whenever you try to permanently delete a message or a thread from Private.Ki, we'll ask you for confirmation:
Click on Delete to confirm and permanently delete the selected message, thread or messages.
Permanent deletion is irreversible. You can't recover permanently deleted messages in any way.
Archiving messages
Archiving an email keeps the message in your account, but out of your Inbox. Use Archive for messages you don’t need in your immediate view, but might want to refer to in the future. Archived emails are not marked for deletion – they stay in the Archive folder indefinitely.
To archive a message, hover over the message in the middle column of Private.Ki Mail, and press the right mouse key (or Ctrl + click). A pop-up menu opens:
Click on Archive.
You can also archive the message by clicking on this icon:
Archive one or more messages by selecting them and clicking on this icon in the toolbar:
